WTIS readiness checklist for diagnostic and surgical centres

Readiness is not only a login or interface question. It depends on whether the centre can capture the required events, validate them and resolve exceptions consistently.

Map the reporting journey

Document where an order or referral enters the organization, which milestones change its status and who is responsible for each update. Identify the source system for every submitted value and where manual intervention still occurs.

Define data-quality checks

Agree on required fields, valid values, timing expectations and duplicate controls before submission. A dashboard should not merely display totals; it should show incomplete, conflicting or overdue records that need attention.

Prepare people and access

Confirm WTIS access, role assignments, training and escalation contacts. Ontario Health provides the WTIS portal, training and support resources. Maintain a procedure for credential changes and staff turnover so reporting does not depend on one individual.

How to design a WTIS exception and reconciliation workflow

Reliable reporting requires a path for records that cannot be submitted cleanly the first time.

Create visible exception categories

Separate missing information, invalid values, timing conflicts, interface failures and records requiring operational review. Clear categories help teams route issues to the person able to resolve them.

Assign resolution and evidence

Every exception should have an owner, next action and supporting source. Preserve enough detail to explain what changed and why. For automated interfaces, monitor both transport success and business-level validation rather than assuming a sent message was accepted.

Review patterns, not only records

Recurring exceptions often reveal a workflow or training problem. Review trends by location, procedure type and source system, then adjust upstream capture or validation. Ontario Health’s WTIS resources remain the authority for current portal and reporting instructions.
